The role of the Practice Assistant is to help ensure the office runs efficiently on a daily basis and to provide support to the doctors.
General office duties including but not limited to answering telephone calls, booking appointments, answering customer questions, opening up and closing down offices, learning to use PPS as a full system including stock control, sorting and dealing with the post, keeping computer records up to date via PPS system, backups, cleaning, handling cash/cheques/ credit cards including safe deposit and banking, placing orders for vaccinations, drugs or office supplies, making tea and coffee for customers and doctors when necessary, scanning of documents, faxing, shredding, bookkeeping, working under own initiative–prioritising tasks–and being flexible. Other tasks will include preparation for and liaising with other agencies e.g. sample collection, bin collections etc.
Providing support to the doctors will include transcribing doctor’s dictations, setting up the consulting room for appropriate procedures (ear syringing, sexual health testing), liaising with Consultant secretaries, labelling stock, keeping the surgery tidy, well supplied and in order.
It is important to maintain a good working knowledge of CQC Essential Standards, and full training will be given. The clinic environment needs to be kept clean, safe and tidy for all patients and staff members. Some of the tasks to guarantee this desired environment will include keeping the waiting room tidy, chaperoning when needed by patient/doctor and daily cleaning.
Customer service is incredibly important to SurreyGP. The Practice Assistant will be responsible for meeting customers at the front desk or at front door and helping them where appropriate, dealing with customers face to face when preparing invoices/booking appointments, answering telephone calls from existing and potential customers where a polite manner will be needed.
From time to time local shopping for office supplies where appropriate such as Rymans / Sainsburys will be requested. When the Practice Manager is on annual leave some essential tasks will be passed over and clear instructions will be provided.

Remuneration
£18,000-£20,000 after successful annual appraisal – SurreyGP complies with all living wage legislation.

Reporting
You will report directly to the Practice Manager
Hours
8:00am to 5:30pm Monday
8:30am to 5:30pm Tuesday to Friday.
One Saturday per month typically 8:00am to 1:30pm
Holidays
Our office is shut between Christmas and New Year.
Your annual holiday entitlement is 4 weeks per year. Up to two weeks holiday will be rostered by the Practice Manager to suit the needs of the business (normally during the long summer holidays and over the Christmas Period).
You are entitled to all normal or statutory public holidays.
Absence through sickness/injury
Will be paid in accordance with the statutory requirements.
Maternity Pay
Will be paid in accordance with the statutory requirements.
Pension Scheme
Will be offered to qualifying individuals in accordance with the statutory requirements.
Notice
Your employment contract may be terminated by either side by giving 1 month’s written notice.
Probationary Period
You will be employed for a probationary period for the first six months during which time the contract can be terminated at any time by either side by giving 1 week’s written notice. There will be an appraisal half way through and at the end of your probationary period.
